The Receptionist serves as the first point of contact for visitors, clients, and employees. This role involves managing the front desk, handling inquiries, and performing administrative tasks to ensure smooth office operations. Key Responsibilities

Front Desk Management:
- Greet and welcome visitors, clients, and staff warmly.
- Ensure the reception area is clean, organized, and presentable at all times.

Communication Handling:
- Answer, screen, and forward incoming calls professionally.
- Respond to emails, inquiries, and messages promptly.

Visitor Coordination:
- Maintain a visitor log and issue visitor badges if necessary.
- Notify relevant staff of visitor arrivals.

Administrative Support:
- Manage schedules, appointments, and meeting room bookings.
- Assist with clerical tasks such as photocopying, filing, and data entry.

Mail and Deliveries:
- Sort and distribute incoming mail and packages.
- Arrange for outgoing courier and mail services.

Customer Service:
- Address visitor queries and provide general information about the organization.
- Resolve minor complaints and escalate major issues to the appropriate person.

Security and Compliance:
- Follow security procedures for entry and exit of visitors.
- Ensure confidentiality of sensitive information.
Skills and Qualifications
- Educational Requirements:
- High school diploma or equivalent (Bachelor’s degree preferred).
- Experience:
- Prior experience in a receptionist, front desk, or customer service role is a plus.
- Technical Skills:
- Proficient in MS Office (Word, Excel, Outlook) and office equipment (printers, scanners, etc.).
- Familiarity with phone systems and scheduling software.
- Soft Skills:
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Exceptional organizational and multitasking abilities.
