A Back Office Executive is responsible for performing administrative tasks and supporting front-office operations. This role focuses on ensuring smooth daily operations, maintaining data, processing transactions, and supporting management and staff with various back-office functions. Back office professionals handle essential work without direct interaction with clients or customers.


Key Responsibilities:

  • Data Entry and Management: Accurately input and manage data into the company's database or CRM system, ensuring the information is updated, organized, and easily accessible.

  • Documentation: Maintain records, files, and paperwork in an organized and secure manner. Prepare reports, presentations, and other documents as needed by management.

  • Inventory and Resource Management: Track office supplies and equipment, place orders as necessary, and ensure that resources are efficiently allocated.

  • Processing Transactions: Handle routine financial processes such as invoicing, processing payments, and managing accounts receivable/payable.

  • Coordination: Assist in coordinating with various departments to ensure smooth business operations. Liaise with the front office and support teams to address needs and requirements.

  • Compliance and Reporting: Ensure all company policies, procedures, and regulations are followed. Prepare and submit reports to management on back-office activities, performance, and improvements.

  • Customer Data Management: Manage customer accounts by updating information, resolving discrepancies, and ensuring customer data is accurate.

  • Support Front Office: Assist the front office team with overflow tasks or when administrative support is needed.


Required Skills:

  • Organizational Skills: Strong ability to manage multiple tasks, prioritize workloads, and ensure all tasks are completed efficiently and on time.

  • Attention to Detail: High attention to detail for accurate data entry and documentation.

  • Proficiency in Technology: Familiarity with MS Office Suite (Word, Excel, PowerPoint) and other office-related software. Experience with data entry software or CRM systems is a plus.

  • Communication Skills: Ability to communicate effectively with internal teams and management.

  • Problem-Solving Skills: Capability to troubleshoot issues and provide support to ensure smooth operations.

  • Time Management: Ability to work independently, manage deadlines, and multitask in a fast-paced environment.


Qualifications:

  • High school diploma or equivalent; a bachelor's degree in business administration, finance, or related fields is preferred.
  • Previous experience in a back-office, administrative, or data entry role is preferred.
  • Knowledge of office management and financial procedures is a plus.
