We are looking for an organized and personable Receptionist to manage our front desk on a daily basis and perform a variety of administrative and clerical tasks. The ideal candidate will have excellent communication skills, a positive attitude, and a professional appearance, ensuring visitors feel welcomed and supported.
Key Responsibilities:
- Greet Visitors: Welcome and direct visitors, clients, and vendors as they enter the office.
- Answer Calls: Handle incoming phone calls, respond to inquiries, and route calls to the appropriate departments.
- Schedule Management: Assist in managing calendars by scheduling meetings, appointments, and conference room bookings.
- Mail Handling: Sort and distribute incoming mail and packages, and handle outgoing mail or courier services.
- Visitor Log: Maintain an accurate visitor log, ensuring proper visitor check-in procedures are followed.
- Administrative Support: Provide general administrative and clerical support, including data entry, filing, photocopying, and faxing.
- Customer Service: Address customer inquiries and resolve basic issues, or escalate concerns to the appropriate department.
- Office Supplies Management: Monitor and manage inventory of office supplies, and place orders when necessary.
- Security Awareness: Ensure the reception area is secure and report any suspicious activities or security concerns.
- Communication: Relay important information to staff and ensure internal messages are delivered efficiently.
Qualifications and Skills:
- High school diploma or equivalent (Associate’s or Bachelor’s degree is a plus).
- Proven work experience as a receptionist, front office representative, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong verbal and written communication skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Professional appearance and a welcoming demeanor.
- Attention to detail and strong organizational skills.
Preferred Experience:
- 1-2 years of experience in a receptionist or front desk role.
- Familiarity with office management systems and procedures.
