The Back Office Executive is responsible for providing administrative and operational support to ensure the smooth functioning of the organization. This role includes data management, document processing, and coordination with various departments to maintain efficient workflow and support front-office operations.

Key Responsibilities:

  1. Data Management:

    • Input, update, and maintain accurate data in company databases and software systems.
    • Generate reports, analyze data, and provide insights to management as required.
    • Ensure data security and confidentiality.
  2. Document Processing:

    • Handle and organize physical and electronic documents, ensuring they are properly stored and easily retrievable.
    • Prepare, review, and process documents such as invoices, purchase orders, and other business forms.
    • Assist in the documentation of policies, procedures, and standard operating practices.
  3. Coordination:

    • Coordinate with front office staff, including sales, customer service, and other departments to support their functions.
    • Liaise with vendors, suppliers, and clients to ensure smooth business operations.
    • Schedule and coordinate meetings, appointments, and travel arrangements for staff.
  4. Administrative Support:

    • Manage office supplies inventory and place orders as needed.
    • Handle incoming and outgoing correspondence, including emails, calls, and postal mail.
    • Assist in the onboarding process of new employees by preparing necessary documentation and facilitating training schedules.
  5. Compliance and Record Keeping:

    • Ensure all business processes comply with legal and regulatory requirements.
    • Maintain and update company records, ensuring they are complete and accurate.
    • Assist in audits and inspections by providing necessary documentation and information.
  6. Process Improvement:

    • Identify opportunities for improving operational efficiency and suggest enhancements to existing processes.
    • Implement new tools or systems to streamline back-office functions.

Qualifications:

  • Education: Bachelor's degree in Business Administration, Finance, or related field (preferred but not mandatory).
  • Experience: 1-3 years of experience in a similar role.
